Position Summary

As a member of the College of Medicine’s (CMEDs) Faculty and Staff Affairs (F&SA) team, coordinate the human resources function for CMED working closely with appropriate university offices. Advise CMED management and staff on organizational and human resources-related matters. Recommend and carry out support initiatives, programs, and procedures.

Required Qualifications

Bachelor’s degree, preferably in Human Resources or a related field or a combination of education and work experience that equates to four years.
Three years of increasingly responsible work experience.
Demonstrated ability to manage complex tasks effectively, including exceptional attention to detail, organization, timeliness and follow- through.
Demonstrated problem-solving skills.
Strong project management skills.
Demonstrated ability to communicate effectively with various constituencies.
Demonstrated positive interpersonal, written and verbal communication skills.
Demonstrated ability to maintain confidentiality and project a positive image.
Working knowledge of computer applications.
Ability to perform the essential functions of the position.

Preferred Qualifications

Master’s degree in Human Resources or business-related field.
Experience drafting and implementing internal operating procedures.
Familiarity with college/university operations.
Previous healthcare or college of medicine experience.

Duties & Responsibilities

Works with F&SA team to develop consistent practices related to faculty/staff recruitment, onboarding, orientation, and employment.
Assists hiring managers in the creation of new faculty and staff positions; creates and edits job descriptions; initiates creations in the Personnel Transaction system, works with CMU HR, FPS and Student Employment Services (SES) to answer questions and clarify position responsibilities.
Serves as a liaison between CMED and HR/FPS.
Serves as the lead recruitment and staffing authority for CMED faculty and staff positions.
Networks through industry contacts, professional associations.
Meets with and guides search committees through the faculty/staff recruitment processes; drafts documentation such as position announcements, interview questions, committee recommendations and justification documentation.
Manages and updates faculty/staff recruitment activity in the applicable Applicant Tracking System (PeopleAdmin) and applicable electronic transaction/HRIS systems, from initial posting to hiring proposal.
Screens staff applicants and responds to faculty/staff applicant inquires, as appropriate.
Assists with the completion of faculty/staff reference checks, as appropriate.
Completes salary recommendations for recommended candidates, following appropriate CMED policy, University policy, and in consultation with labor market information.
In collaboration with Hiring Managers and University Offices, drafts appointment letters as appropriate.
In collaboration with Hiring Managers, makes offer of employment to recommended candidates.
Coordinates and administers the Onboarding and New Employee Orientation process for faculty and staff hires.
In collaboration with applicable University offices, administer and monitor CMED LOA program. Facilitates manager training and employee communications to enhance the understanding of LOA policies and programs.
Promotes HR process standardization and process improvement.
Coordinates student and temporary employment hires.
Responsible for maintenance and processing of organizational structure changes across CMED.
Responsible for maintenance and appropriate record-keeping related to employment records across CMED, and leads imaging initiatives for F&SA.
Responsible for creation, tracking, and maintenance of all CMED job descriptions.
Assists with (and may lead) other F&SA initiates (Policy Implementation, Orientation, etc.) as appropriate.
Assists with the Administration and monitoring of the medical faculty salary program. Provides staff support, maintains meeting summaries, monitors and conducts follow-up actions.
Assists with employee communications to enhance understanding of the medical faculty salary program.
Coordinates day-to-day faculty compensation related activities
Responsible for annual and ad hoc completion, collection and review of market compensation data and review including salary surveys.
